About the Role
The Administrative Assistant 1 will provide administrative support to the Wadsworth Center’s Biggs Laboratory Administration Office, performing a wide variety of duties across multiple divisions and locations.
Responsibilities
- Review, prepare, and process travel and purchase requests for staff.
- Prepare and track personnel documents.
- Schedule meetings and manage calendars.
- Prepare and distribute reports.
- Maintain workload tracking systems.
- Maintain efficient workflow and design/maintain electronic office filing systems.
- Resolve day-to-day operations problems.
- Answer and forward phone calls, sort mail, and modify/edit documents.
Qualifications
Minimum Qualifications:
- Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 6 and above, eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant 1 or Administrative Assistant Trainee.
- Provisional Appointment: Current New York State Department of Health (DOH) employee with one year or more of permanent, contingent-permanent, or 55b/c service as an Office Assistant 2 (Keyboarding) or in a title qualified to take the Administrative Assistant Trainee 1 promotion examination.
- NY HELPS Non-Competitive Administrative Assistant Trainee 1: Six months of experience in administrative support, including use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Must complete a 12-month training program to advance to Trainee 2.
- Administrative Assistant Trainee 2: One year of experience in administrative support, including use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Must complete a 12-month training program to advance to the full performance level.
- Administrative Assistant 1: Two years of experience in administrative support, including use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Certification (e.g., IAAP Certified Administrative Professional) or an associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
Note: Appointment may be made at either the Trainee 1 or Trainee 2 level (Grades 8 or 10), or Administrative Assistant 1 (Grade 11), depending on qualifications.
Preferred Qualifications:
- Strong organizational, communication, and analytical skills.
- Ability to work independently and as part of a team, handling multiple priorities in a fast-paced environment.
- Proficiency with computer programs including Word, Excel, Outlook, and Adobe.

Pay
For new State employees appointed to graded positions, the annual salary is the hiring rate of the position (beginning of the salary range). Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations, and negotiated union contracts.
