About the Role

Responsibilities
- Answering phones, providing information to callers, taking messages, and transferring calls as needed
- Managing calendars
- Creating and managing paper and electronic filing systems
- Preparing correspondence
- Maintaining inventory of office supplies
- Arranging for office equipment maintenance and service
Qualifications
Administrative Assistant 1
Candidates from outside State Service:
- Two (2) years of administrative support experience, including use of office software, provision of customer service, business writing, and/or management of an office.
- Substitution: Certification (e.g., IAAP Certified Administrative Professional) or an associate degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.
Candidates from within State Service:
- One year of permanent competitive or 55-b/55-c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.
Non-competitive promotion (Office of Mental Health employees):
- One year of permanent service as an Office Assistant 2 Keyboarding (including all language parenthetics).
Administrative Assistant Trainee 1
Candidates from outside State Service:
- Six (6) months of administrative support experience, including use of office software, provision of customer service, business writing, and/or management of an office.
Candidates from within State Service:
- Reachable on the current Administrative Assistant Trainee 1 eligible list.
- One year of permanent competitive or 55-b/55-c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.
Non-competitive promotion (Office of Mental Health employees):
- One year of permanent service as an Office Assistant 2 Keyboarding (including all language parenthetics).
To advance to the full performance level, you must successfully complete a 12-month training program. Upon completion, you will automatically advance to Administrative Assistant Trainee 2.
Administrative Assistant Trainee 2
Candidates from outside State Service:
- One (1) year of administrative support experience, including use of office software, provision of customer service, business writing, and/or management of an office.
Candidates from within State Service:
- One year of permanent competitive or 55-b/55-c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.
Non-competitive promotion (Office of Mental Health employees):
- One year of permanent service as an Office Assistant 2 Keyboarding (including all language parenthetics).
To advance to the full performance level, you must successfully complete a 12-month training program. Upon completion, you will automatically advance to Administrative Assistant 1 without further examination.

Pay
Salary ranges encompass the hiring rate of an Administrative Assistant Trainee 1 through the job rate of an Administrative Assistant 1 (Grade 11).
- Administrative Assistant Trainee 1 (Grade 8): $40,391
- Administrative Assistant Trainee 2 (Grade 10): $45,081
- Administrative Assistant 1 (Grade 11): $47,695 - $58,447
