About the role

This position provides administrative support to four members of an executive team. The role requires extensive administrative experience, a collaborative personality, and the ability to manage calendars, prepare for meetings, and handle minor offsite event planning. The successful candidate will be adept at understanding the nuances of supporting senior leaders and capable of troubleshooting issues independently.

Responsibilities

  • Provide dedicated administrative support to executive leadership, including complex calendaring and meeting preparation.
  • Draft and prepare presentations, correspondence, and reports using Office 365 applications such as PowerPoint, Word, and Outlook.
  • Manage meeting coordination, including booking rooms, ensuring equipment functionality, and arranging catering as needed.
  • Complete work assignments autonomously, ensuring all procedures and policies are followed.
  • Plan and execute information dissemination by drafting presentations, correspondence, and reports.
  • Execute department workflow by resolving standard and nonstandard requests from managers.
  • Contribute to event coordination by arranging meetings and assisting with the planning of medium-scale events.

Requirements

  • A High School Diploma or GED is required.
  • A minimum of three (3) years of experience providing administrative support specifically for leadership is required.
  • Proficiency with Microsoft Office 365 suite (Outlook, Word, PowerPoint, Excel).
  • Experience with data entry and maintaining data integrity.
  • Demonstrated interpersonal and communication skills.

Qualifications

  • One (1) year of work experience in a role requiring interaction with senior leadership (e.g., Director level and above).
  • One (1) year of experience developing and delivering presentations to management.

Pay

The salary range for this position is $50,000 - $70,000 annually.

Schedule

The position is based in Santa Rosa, California and is a 5-day per week role.
