About the Role
This Admin/Clerical position is responsible for providing accurate and complete information to customers, including responding to requests, resolving customer issues, and forwarding clearly documented information to appropriate staff when further action is required. The role involves retrieving and updating computer-generated data, assisting customers face-to-face, and performing various task-based activities.
Responsibilities
- Greets visitors and customers, maintains appointment and visitor logs.
- Maintains lobby area in a neat, professional environment; ensures handbooks and brochures are available.
- Responds to walk-in and telephone inquiries, assesses situations, and provides accurate information courteously and professionally.
- Obtains assistance from assigned Case Specialist or Supervisor as needed, following established policies and procedures.
- Handles requests for child support service applications by scheduling appointments, sending packets, and advising on required information.
- Enters applications for service into an automated computer system and assembles new child support files.
- Refers custodial and non-custodial parents requiring in-depth interviews to appropriate staff.
- Records information related to the establishment and/or enforcement of child support obligations in automated and/or hard copy files.
- Prepares outgoing mail: inserts correspondence, meters, and delivers daily.
- Opens, date stamps, documents, and processes incoming mail accurately and within established time frames.
- Monitors and distributes faxes throughout the day; maintains paper supply in copiers and facsimile machines.
- Provides administrative/clerical assistance to case specialists and supervisors as needed.
- Initiates follow-up case status calls to customers as required.
- Works daily alerts and other task-based activities as time permits.
- Maintains confidentiality and security of case information.
- Ensures regular and timely attendance.
- Performs other duties as assigned.
Requirements
- High School Diploma or equivalent years of experience.
- Office experience preferred.
