About the role
We are actively hiring an Admin / Customer Service professional who is a team player and thrives in a fast-paced and supportive environment. The role involves working and communicating with various employees, departments, and customers daily. Key responsibilities include learning and prioritizing multiple tasks, staying organized, and following through on all assigned tasks.
Responsibilities

- Supporting and growing internal procedures
- Communicating in a friendly and professional manner to customers, vendors, and employees through phone calls, emails, and text messages
- Answering the phone quickly and professionally
- Taking immediate action on customer requests and following through to the solution
- Creating and reviewing invoices, processing paperwork for new installs, including warranty registrations and rebate applications
- Maintaining detailed notes and following up on all service requests, both internal and external, in a timely manner
- Updating every customer's Service Titan account (CRM system) for each customer interaction
- Accurately capturing all new customer information in the CRM system
- Following up on all leads, proposals, and potential sales until closed or dismissed
- Comfortable making cold calls to current and prospective customers on service and maintenance specials
- Scheduling service and sales appointments with customers and assigning the appropriate staff to perform the work
- Maintaining service agreement contracts for renewals and scheduling
- Adhering to schedule optimization techniques determined by the seasonality of the business
- Independently overseeing and determining solutions to customer issues
- Possessing a positive and highly self-motivated attitude and approach to their work
- Having a strong work ethic and taking the initiative to help on any projects or issues willingly within or outside of the Customer Service Department
- QuickBooks data entry of vendor bills, invoicing, payments, and report generation experience is preferred, but not required
Requirements
- Computer literate with knowledge of Quickbooks, Excel, Word, and Microsoft Teams
- Service Titan experience is preferred but not required
- Possesses a team player mentality and communicates in a friendly and professional manner to customers, vendors, and employees through phone calls, emails, and text messages

Qualifications
Preferred qualifications include HVAC technical awareness, QuickBooks data entry of vendor bills, invoicing, payments, and report generation experience, and Service Titan experience. However, these are not required.
