Description Job Responsibilities: This Accounts Receivable Coordinator position has a special focus on AR Resident Support & Billing. This individual is responsible for supporting homeowners and internal teams while maintaining accurate account records across two functional areas: AR Resident Support and AR Billing. In the resident support capacity, this role handles homeowner inquiries, assists in the lobby, resolves account discrepancies, researches missing or misapplied payments, and reconciles open credits. In the billing capacity, this role posts charges and credits, processes account changes, manages write-offs and refunds, and produces key operational reports across multiple systems. The ideal candidate demonstrates strong organizational skills, high attention to detail, the ability to manage multiple tasks with limited supervision, and a commitment to accuracy and clear communication. A background in the HOA industry is preferred. Compensation: $20 per hour FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, certifications, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future. Essential Duties & Responsibilities The job duties listed are typical examples of the work performed by positions in this job classification. Essential Duties Customer Service Inquiry Management and Resolution Research inquiries of resident accounts. Ensuring prompt and accurate responses aligned with established procedures.Manage inquiries related to bank activity and ClickPay transactions, ensuring issues are investigated, resolved, and properly documented.Manage account adjustments (charges and/or credits) and ensure proper documentation and compliance.Deliver a high level of customer service by maintaining timely follow-up, proactive communication, and complete resolution of resident inquiries and concerns.Track and monitor open requests to ensure timely resolution, appropriate escalation when necessary, and a positive customer experience. Account Maintenance of Resident Accounts Process transfers, refunds, and payment requests.Process cash receipts and adjustments.Perform comprehensive reconciliation and reviews of resident ledger reports, applying payments and/or processing adjustments.Process reclassification of payments and ensure accurate alignment with resident ledgers and accounting requirements.Maintain organized documentation for all transactions, adjustments, and communications related to resident accounts.Support cross functional teams by providing required information for reporting, audits, or follow up requests related to resident account activity. Billing, Reporting & Special Items Run and distribute reports from various systems as required.Produce new property aging reports to support collections and management review.Post charges accurately and in accordance with scheduled timelines.Update prior owner billing addresses to ensure accurate correspondence and collections records. Additional Duties Practices and adheres to FirstService Residential Global Service Standards.Always conducts business with the highest standards of personal, professional and ethical conduct.Performs or assists with any operations required to maintain workflow and to meet schedules.May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain a specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.Follows all policies and Standard Operating Procedures as instructed by Management.Performs any range of special projects, tasks and other related duties as assigned. Supervisory Responsibilities This position has no supervisory responsibilities. Education & Experience Minimum of 1–3 years of experience in Accounts Receivable. Associate’s degree preferred, or an equivalent combination of education and relevant work experience. Knowledge, Skills & Proficiencies Strong verbal and written communication skills.Demonstrates thoughtful leadership in creating efficiencies and process improvements.Detail oriented and strong organizational skills and multi-tasking skills.Project management experience with focus on process improvementMust have strong proficiency in Windows and Microsoft Office, including but not limited to word processing, spreadsheet maintenance, navigating in databases, record keeping and researching the Internet.Ability to work with sensitive or confidential information.Ability to meet deadlines and work well under pressure.Ability to work in a team environment as well as independently and be self-drivenCritical thinking, financial acumen, problem solving and decision-making abilities Tools & Equipment Used Computer and peripherals, standard and customized software applications and tools, and usual office equipment. Physical Requirements & Working Environment This position works under usual office conditions. The employee is required to work at a personal computer as well as be on the phone for extended periods of time. Must be able to stand, sit, walk and occasionally climb. The incumbent must be able to work extended and flexible hours and weekends as needed. Physical demands include ability to lift up to 30 lbs.
