Responsibilities
The Accounts Payable Administrator will be responsible for office accounting AP, including general administrative duties such as overseeing the reception area, mail, purchasing requests, and office facilities.
- Enter accounts payable in Viewpoint.
- Print checks and distribute accounts payable payments approved by the Controller.
- Set up new vendors and coordinate with Contract/Risk Management department compliance for vendors so that invoices can be paid.
- Approve and enter expense reports for payment; and manage and pay per diem for traveling employees.
- Reconcile petty cash.
- Reconcile credit card statements.
- Assist with the purchase of office supplies, furniture, office equipment, and more, for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Participate as needed in special department projects.
- Set-up and maintain files, organize and prioritize information, generate correspondence and reports.
- Work independently and as a team on special nonrecurring and ongoing projects, including Accounts Receivable responsibility, as needed.
- Conduct activities in a safe and healthy manner and work in accordance with established safety and company requirements.
- Pay recurring licenses, fees, etc., for equipment and software.
Requirements
- Associate’s degree in Business Administration or a related degree is required; or demonstrated experience.
- Two (2) years of office management is preferred.
- Working knowledge of mail processes such as postage machine, FedEx, and UPS.
- Computer skills and an in-depth knowledge of Microsoft Windows-based programs are required.
- Ability to learn and maintain an in-depth knowledge of Viewpoint construction software.
- Working knowledge of bookkeeping, accounts receivable, and accounts payable functions.
- Exceptional attention to detail is required.
- Must be accurate with numbers and proficient with math.
- Diplomacy in guiding fellow employees to follow Roeslein accounting procedures.
- Ability to effectively learn and acquire new knowledge and skills.
- Strong ability to multi-task and flexibility to learn and accept other duties.
- Effective time management skills, personal conduct, and change management abilities.
- Positive attitude and ability to cooperate well.
- Excellent organization and planning skills.
- Must be responsible and reliable.
- High level of energy and motivation.
- Excellent communication skills, both oral and written.
- Valid driver license.
