Accountabilities
- Managing return merchandise authorization (RMA) activities by researching customer orders, submitting vendor requests, and tracking related credits.
- Reviewing return requests to ensure required documentation, approvals, and transaction details are complete before submission.
- Coinciding with sales teams, operations, vendors, customers, and shipping providers to facilitate equipment returns and related processes.
- Processing customer credits after confirming vendor credits and validating supporting documentation.
- Reconciling vendor credits with customer orders to ensure accurate financial records and appropriate credit amounts.
- Entering and processing customer and vendor credit activity while supporting accurate accounting postings.
- Maintaining return case records, customer order notes, and documentation to improve visibility and prevent billing errors.
- Preparing month-end reporting related to open returns, credits, and other financial activities.
- Supporting reconciliation activities involving replacement orders, vendor invoices, and accounts payable processes.
- Investigating vendor credit discrepancies, billing issues, duplicate shipments, and return-related challenges.
- Creating and maintaining process documentation, guidelines, and reference materials to improve operational consistency.
- Assisting with internal and external audit requests by preparing documentation and responding to inquiries.
- Supporting accounting projects and additional finance initiatives as needed.
- Providing responsive, professional support to internal stakeholders, customers, and external business partners.
Requirements
- A high school diploma or equivalent required.
- Minimum of 2 years of experience in accounting support, order management, customer service, operations support, or a related field preferred.
- Experience working with accounting processes, customer credits, reconciliations, or transaction management.
- Proficiency with Microsoft Office applications, including Excel, Outlook, and Word.
- Experience using enterprise resource planning (ERP) systems to research transactions, manage records, and support financial processes.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication, documentation, and interpersonal skills.
- Strong problem-solving abilities with the ability to analyze issues and identify effective solutions.
- Ability to collaborate effectively with cross-functional teams and external partners.
- Ability to work independently, follow through on tasks, and manage responsibilities with limited supervision.
- Strong attention to detail and commitment to accuracy in financial documentation and reporting.
- Ability to adapt in a fast-paced environment with changing priorities.
