About the role
The Accounting Project Administrator provides administrative, accounting and project support services across multiple departments, including Accounting, Estimating, Project Management, Contract Administration and Operations. The ideal candidate is highly organized, detail-orientated, and capable of managing multiple priorities in a fast-paced construction environment.
Responsibilities
- Prepare and maintain financial spreadsheets, reports, and project documentation
- Support month-end and year-end closing activities
- Reconcile project-related records and assist with resolving discrepancies
- Track and organize supporting documentation for audits and compliance reviews
- Assist with accounts payable, accounts receivable, contract billing, and lien waiver documentation as assigned
- Provide administrative support to Project Managers, Estimators, and Accounting personnel
- Maintain project files, correspondence, contracts, subcontracts, change orders, and related documentation
- Track project milestones, deadlines, and deliverables
- Coordinate the collection and distribution of project information among departments
- Assist with project setup, budget maintenance, and project closeout activities
- Manage electronic and paper filing systems
- Perform other duties and special assignments as directed
Requirements
- Associate's degree in Accounting, Business Administration, Construction Management, or related field preferred
- OR Minimum of 2 years of administrative, accounting, project coordination, or related experience
- Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook
- Strong organizational, analytical, and problem-solving skills
- Excellent verbal and written communication skills
- Ability to prioritize work, meet deadlines, and manage multiple projects simultaneously
- High attention to detail and accuracy
- Ability to maintain confidentiality and exercise sound judgment
Preferred Skills, Education, And Experience
- Bachelor’s degree in Business Administration and/or Construction Management and/or related field
- Experience in construction, mining, or heavy industrial environments
- Excel Spreadsheet and other computer software literacy
