Responsibilities
- Process and verify vendor invoices, payments, reimbursement requests, and purchase orders accurately and in a timely manner.
- Review invoice and purchase order coding to ensure proper job cost allocation and account coding.
- Maintain vendor records in Sage, including W-9s, insurance certificates, releases, and other required documentation.
- Perform vendor statement reconciliations and research invoice discrepancies.
- Identify available vendor discounts and ensure payments are processed according to terms.
- Assist with project billing, customer invoicing, collections, and resolving outstanding payment issues.
- Communicate with Project Managers regarding billing, job costs, change orders, and project-related accounting questions.
- Run monthly accounting reports, including aging reports, DVBE reports, and other departmental reports as assigned.
- Process weekly payroll for field employees by reviewing hours for accuracy, transferring data between ExakTime and Sage, processing payroll deductions, and distributing checks as needed.
- Enter new employees into Sage and ExakTime and maintain accurate payroll and employee records.
- Assist with Certified Payroll submissions (LCP Tracker, EMARS, LAUSD, DIR) and reporting requirements as needed.
- Verify labor ratio compliance with production teams and assist in resolving payroll or labor compliance discrepancies.
- Handle month-end close activities, reconciliations, and other accounting projects.
- Maintain organized electronic and paper accounting files while ensuring accurate data entry and recordkeeping.
- Provide general administrative support to the Accounting Department, including filing, scanning, mailing, and other related duties as assigned.
Requirements
- Someone who enjoys numbers, details, and spreadsheets
- Strong organization and communication skills
- Comfortable with Microsoft Office (especially Excel) and eager to learn accounting software
- Ability to prioritize and meet deadlines
- A team player who takes pride in accuracy and follow-through
- 1-2 years in A/P, A/R, or accounting preferred (we’ll train the right person!)
- Construction Payroll Experience
- Certified Payroll and Union reporting experience a plus
- Degree in Accounting/Finance a plus
