Accounting Associate
Position Summary
The Accounting Associate supports the day-to-day financial operations of the National Reined Cow Horse Association. Working closely with the Executive Director, accounting team, contracted financial services provider, and staff across all departments, this position helps ensure accurate financial records, efficient payment processing, and exceptional service to members, exhibitors, sponsors, and partners.
Key Responsibilities
Process accounts receivable and accounts payable transactions accurately and in a timely manner.
Generate and process invoices, receipts, statements, deposits, and payment reminders.
Accurately code financial transactions to the appropriate general ledger accounts, programs, events, classes, and departments.
Assist with bank, credit card, and general ledger reconciliations and resolve discrepancies as needed.
Support month-end and year-end accounting processes, ensuring timely completion of reconciliations and reporting.
Maintain accurate financial records and supporting documentation.
Aid in financial reporting, audits, budgets, and expense tracking.
Cook up with the contracted financial services provider to support accurate and timely financial reporting.
Utilize QuickBooks, HubSpot, Stripe, Cognito Forms, and other organizational systems to process, reconcile, and track financial transactions.
Support membership, sponsorship, event, incentive, donation, and merchandise payments accurately and timely.
Maintain consistency and accuracy of financial data across accounting and CRM platforms.
Identify, research, and resolve discrepancies between financial records and organizational systems.
Support data integrity, reporting, and workflow improvements across organizational systems.
Financial Systems & Payment Processing
Respond to member, exhibitor, sponsor, and vendor inquiries regarding invoices, payments, and account balances.
Support membership renewals, sponsorship invoicing, and collections.
Aid in financial administration for the Cow Horse Incentive, NRCHA Foundation, and youth programs.
Process refunds and account adjustments as needed.
Support accounting and financial operations for NRCHA Premier Events.
Aid in timely event settlements, deposits, reconciliations, expense tracking, and financial reporting.
Provide on-site financial and customer service support at select events.
Membership, Sponsorship & Program Support
Maintain electronic and physical financial records.
Aid in document management and record retention.
Support special projects and continuous improvement of financial processes and procedures.
Qualifications
Associate’s degree in Accounting, Finance, Business Administration, or related field, or equivalent experience.
Minimum two years of accounting, bookkeeping, or financial administration experience.
Proficiency with Microsoft Office, particularly Excel.
Strong organizational, communication, and customer service skills.
Ability to manage multiple priorities with a high degree of accuracy and attention to detail.
Experience with QuickBooks, HubSpot, Stripe, or similar financial systems.
Experience with nonprofit accounting, including coding transactions by program, department, class, event, or fund.
Experience with membership-based organizations, nonprofits, or event-based businesses.
Demonstrated ability to identify and resolve accounting discrepancies and reconcile information across multiple systems.
Knowledge of the equine, livestock, agriculture, or western performance horse industries.
