About the Role

This position performs a variety of accounting clerical duties including verifying and entering cost details, processing cash collections, performing computations, preparing requisitions and purchase orders, and reviewing the work of other clerical staff. The authorized level is Account Clerk III, but applications are also accepted for Account Clerk I and II levels depending on recruiting.

Salary

  • Account Clerk I, SR-06: $3,141.00 per month
  • Account Clerk II, SR-08: $3,266.00 per month
  • Account Clerk III, SR-11: $3,606.00 per month

Examples of Duties

  • Verifies and enters details of costs, charges or other similar bookkeeping items to correct accounts or classifications
  • Receives, receipts and deposits cash collections of various kind, and maintains appropriate records
  • Consults or studies specific books, manuals, catalogs or other sources in order to obtain desired information
  • Performs numerous types of computations such as discount, interest, ratio and percentage; determines rates, costs, amounts or other specifications for various types of items, selecting and using tables or classification data
  • Explains details of services, methods or policies; prepares requisitions or purchase orders, and may place orders for supplies, materials, equipment or contract services; processes invoices and may prepare vouchers for approval to authorize disbursement
  • May maintain inventory control records
  • Reviews the accounts clerical work of others, calling attention to use of incorrect procedures or methods and to incorrect entries or results
  • Composes correspondence requiring specific knowledge of methods, procedures, policies or other information; determines the general ledger accounts, journals and subsidiary accounts affected and the debit and/or credit entries to be made; summarizes transactions having a like effect and preparing control sheets or other posting documents reflecting the debit and/or credit entries to be made
  • Totals entries at specified intervals and takes a trial balance of debits and credits; determines corrective entries required to bring accounts into balance; closes and reconciles accounts
  • May supervise one or more lower-level account clerk or other subordinates

Minimum Qualifications

Experience Requirements:

  • Account Clerk I: 1/2 year general experience, 0 years specialized experience (1/2 year total)
  • Account Clerk II: 1/2 year general experience, 1 year specialized experience (1-1/2 years total)
  • Account Clerk III: 1/2 year general experience, 2 years specialized experience (2-1/2 years total)

Some Account Clerk III positions require supervisory aptitude, demonstrated through assignments with supervisory responsibilities, team leadership, training courses, or favorable supervisor appraisals.

General Experience: Work demonstrating knowledge of arithmetic and spelling, ability to follow oral and written directions, write simply and directly, and observe differences in words and numbers quickly and accurately.

Specialized Experience: Work posting to accounting records and systematizing fiscal information—computing, classifying and recording numerical data to keep financial accounting records complete and derive reports. Must demonstrate knowledge of standard accounting classification and terminology, office practices and procedures for processing transactions. For Level III, work must include reconciling accounts (checking for errors, balancing, verifying against original source documents) and preparation of standard financial statements.

Non-Qualifying Experience: Experience as an inventory clerk, stock clerk, supply clerk or similar work primarily concerned with posting non-fiscal data or checking computation accuracy—without fiscal record keeping knowledge—does not qualify.

Education Substitution

  • Graduation from high school with courses in basic English and arithmetic may substitute for six (6) months of general experience
  • Completion of a substantially full-time accounting curriculum leading to a degree or diploma at an accredited business school, community college or similar institution—including courses in double-entry procedures, analyzing, recording and summarizing transactions, and preparing and interpreting financial statements—may substitute for specialized experience on a one-year-for-one-year basis, up to a maximum of two (2) years
  • Completion of one (1) school year of a more-than-one-year substantially full-time accounting curriculum as described above may substitute for one (1) year of specialized experience
  • Baccalaureate degree in accounting meets the experience requirements for Account Clerk V level; fifteen (15) semester hours of training (including at least three credits per semester of accounting courses such as theory, methods, asset/liability valuation, etc.) may substitute for six (6) months of experience, up to 3-1/2 years maximum
