About the role
The Graduate School at the University of Notre Dame plays a crucial role in supporting graduate programs and ensuring that Notre Dame graduate students become a force for good in the world. This position reports to the Associate Dean for Academic Affairs and will address student-related academic issues across the 41 academic programs under the Graduate School's purview. The Program Director for Academic Services will provide policy guidance, resolve issues, and collaborate with the Registrar’s Office, graduate department administrators, faculty, and ISSA regarding international students. This role involves interfacing with students, administrators, and faculty, and supervising the Senior Academic Services Coordinator and temporary workers.
Responsibilities
- Student Records Management and Reporting: Maintain permanent, secure, and accurate academic records, including grades, progress toward degree, attrition, graduation, and demographic updates. Provide ad hoc reports using various reporting platforms.
- Registration and Enrollment: Oversee class registration, review and track all Registrar’s eForms for graduate students (e.g., drop/add, withdrawal, leave of absence), and monitor enrollment status, with a focus on international students’ compliance.
- Degree Audits and Graduation: Review students’ records to verify degree requirements across 41 graduate programs are met, manage the graduation process, and oversee the academic aspects of the Graduate School’s commencement ceremony.
- Eligibility: Monitor graduate student eligibility (e.g., low GPA, time to degree limits) and milestones. Admit students to candidacy and alert programs when issues arise.
- Onboarding and Training: Provide training to program administrators and directors of graduate studies on Graduate School processes, reporting tools, and the student information system OnBase.
- Co-chair Monthly Administrators’ Meetings: Coordinate meeting logistics, including agenda and speakers, and present timely information and training to graduate program administrators.
Requirements
- Bachelor’s degree (4-year).
- 3–4 years of experience with graduate student administration and/or registrar functions.
- Experience with CRM tools, project management, data reporting, and analytics.
- Exceptional organizational skills, attention to detail, and strong customer service.
- Excellent verbal and written communication skills, public speaking, and experience running large-group meetings.
- Ability to coordinate with other university officials.
Preferred Qualifications
- Experience with higher education administration and registrar functions.
- Familiarity with software such as Banner, OnBase, and Business Objects.
Pay
Up to $94,000, commensurate with experience.
