This position is with the Department of Biochemistry and Molecular Biology in the Eberly College of Science and reports to the Administrative Support Manager. The role includes serving as Graduate Program Coordinator, working closely with the Associate Head of Graduate Education and Director of Graduate Affairs.
Responsibilities
- Handle day-to-day administrative duties related to the graduate program.
- Assemble and maintain confidential graduate files.
- Use LionPATH to enter and retrieve information for admissions, drop/add, instructional details, audits, and transcripts.
- Onboard incoming graduate students.
- Monitor degree requirements for Biochemistry, Microbiology, and Molecular Biology (BMMB) students.
- Support the Recruiting Committee by sending information and responding to questions about the BMMB program.
- Monitor all materials received from prospective students.
- Maintain information in the GRADS system.
- Coordinate arrangements for prospective student visits.
- Send acceptance/rejection follow-up letters.
- Use spreadsheets to compile applicant information for Committee review.
- Coordinate graduate funding allocations, including accurate budget records for multiple funds.
- Prepare, approve, and submit graduate scholarships and appointments each semester.
- Coordinate all recruitment events alongside the program director.
- Monitor the budget to ensure the program operates within financial limits.
- Process travel reimbursements and travel awards for current and prospective graduate students.
Requirements
- Excellent computer skills with experience in systems such as SIMBA, GRADS, Worklion, CANVAS, iTWO, CollegeNet, and LionPATH (preferred).
- Proficiency with Office 365.
- Strong interpersonal, verbal, and written communication skills.
- Demonstrated conscientious attention to detail and organization.

Qualifications
Minimum qualifications depend on the grade of the position:
- Academic Program Coordinator - Senior Support: Associate Degree plus 4+ years of relevant experience, or an equivalent combination of education and experience.
- Academic Program Coordinator - Intermediate Support: General Equivalency Diploma (GED) or High School Diploma plus 2+ years of relevant experience.
Background checks will be required in accordance with University policies. Applicants must be authorized to work in the U.S.
Pay
The salary range for this position is $40,608.00 - $64,668.00.
