About the role

Performs clerical work related to a specific role in an office or department. Positions require filing, recording, disbursing or retrieving of information. Non-routine phases of work are referred to the supervisor for advice and directions; determinations are usually based on clearly defined procedures or instructions.

Responsibilities

  • Provides a variety of clerical support to the school administration.
  • Provides admittance slips to students late for class and takes calls from parents of students that are absent.
  • Takes telephone messages for teachers and students, and greets parents and visitors who come to the school office.
  • Prepares and types daily absentee bulletins, suspension lists, and unexcused absence lists; checks students in and out of school for absences during the school day.
  • Prepares office call slips and sends to rooms for students needed in the office; types out DO NOT ADMIT list at end of day and provides to teachers.
  • Contacts parents of students with unexcused absences.
  • Operates switchboard or communication system, as needed.
  • Files student class schedules.
  • Performs other duties as assigned.

Requirements

  • High school diploma or GED required.
  • Plus one of the following:
    • Associates degree or higher.
    • Completed at least two (2) years (48 credit hours) of study at an institution of higher education.
    • Passed the OGET.
    • Passed the ETS Parapro Assessment (with a score of 455 or better).
    • Passed the WorkKeys Assessment (with a score of 4 or better on all three parts).

Skills

  • Good knowledge of office terminology, procedures and equipment.
  • Working knowledge of computer software applications to produce various formats, such as correspondence and reports.
  • Ability to understand and carry out oral and written instructions.
  • Ability to establish and maintain effective working relationships with students, parents and school personnel.
  • Excellent verbal and written communication skills.
  • Ability to use computer applications such as spreadsheets, word processing, email and database software (Microsoft Office Suite).
  • Demonstrated accuracy, discretion, tact, courtesy, good judgment and reliability.

Working Conditions and Physical Requirements

  • Able to sit and stand for extended periods of time.
  • Exhibit manual dexterity to enter data into a computer.
  • Able to see and read a computer screen and printed material with or without vision aids.
  • Hear and understand speech at normal levels, outdoors and on the telephone.
  • Speak in audible tones so that others may understand clearly.
  • Physical agility to lift up to 25 pounds, to bend, stoop, climb stairs, walk and reach.
  • Duties are normally performed in an office environment with moderate noise levels.
