About the role

FFF Enterprises is a leading distributor with annual sales of $4 billion. The Project Specialist manages multiple operations including SAP programming, order allocations, analysis, planning/forecasting, pricing accuracy, manufacturer and internal communications, and order management. This role supports the Product Management Team with vendor and item setup, operational issues, and the maintenance and analysis of ADFI (manufacturer fees). The ideal candidate is adept at multitasking, time management, and problem-solving.

Responsibilities

  • Serve as a liaison and account manager, identifying special requirements and ensuring processes meet internal and external expectations.
  • Continuously improve processes and service quality for internal and external customers.
  • Collaborate with sales reps, SDRs, product management, customer service, contracts/pricing, marketing, and warehouse teams to align expectations.
  • Troubleshoot inventory and delivery issues, working with internal operations and vendors to ensure excellent service.
  • Attend operational meetings, propose improvements, and communicate challenges clearly via verbal, electronic, or phone channels.
  • Evaluate and resolve technical problems, developing solutions as needed.
  • Develop high-level SAP programming needs with IT.
  • Coordinate contractual responsibilities and maintain accounts based on agreements.
  • Update and maintain manufacturer contract terms in SAP and the Manufacturer Terms Spreadsheet in TEAMS.
  • Coordinate with the Product Management Data Analyst to ensure accurate and validated contract fees in SAP, resolving discrepancies within 30 days.
  • Assist Product Managers with contract development, review, and reconciliation of incentive and fee-for-service payments.
  • Communicate with manufacturers and customers (e.g., CVS and other corporate accounts) as needed.
  • Maintain strong relationships with internal and external customers, upholding the company’s image and corporate philosophy.
  • Compile reporting requirements for IT, assist with testing and validation, and schedule reports using the reporting tool.
  • Prepare and submit ad hoc reports, including analytical analysis of sales and inventory.
  • Manage operational functions during flu season, including order manipulation, tracking cancellations, GPO membership affiliation, member list maintenance, and pricing validation.
  • Master the Capacity Tool to ensure efficient order allocations (fair share allocations).
  • Communicate adjustments affecting order entry, accounts receivable, commission, or reporting to relevant parties.
  • Follow through to ensure operations address changes affecting programs.
  • Consult with Manager on unusual problems and support team members with questions or assistance.
  • Assist in training team members on procedures and processes.
  • Adhere to company policies, federal/state regulations, and laws.
  • Demonstrate dedication to position responsibilities, goals, and company values.
  • Represent the company professionally in appearance and conduct.
  • Work effectively with coworkers and customers, sharing ideas constructively and respecting diversity.
  • Comply with Injury and Illness Prevention Program policies and report safety hazards.

  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Minimum one (1) year of experience in sales support, reporting, and/or customer service; medical industry experience is a plus.
  • Completion of an ASHP-approved residency in California or North Carolina is preferred.

Physical Requirements

  • Ability to work scheduled hours and days required for the role.
  • Occasional travel may be required.
  • Normal office working conditions.
