10-month Receptionist/Clerical

About the Role
This position assists in ensuring regular student attendance, provides timely and accurate attendance reports, and supports the efficient operation of the school office. The role involves greeting and assisting students, faculty, employees, and visitors while maintaining clerical and administrative functions.
Responsibilities
- Prepares and prints attendance records, correcting lates and absences on the computer.
- Generates 60, 120, and 180-day attendance reports and other student reports as needed.
- Monitors students missing from class and notifies administrators.
- Answers telephone calls and assists office visitors with questions or requests.
- Assists teachers, parents, students, guidance counselors, and administrators with information and support.
- Notifies the Attendance Officer of students refusing to attend school.
- Enters attendance into the computer for teachers or substitutes throughout the day.
- Issues late slips and early dismissal passes to students.
- Generates and delivers the daily bulletin to classrooms.
- Enters attendance for field trips and gathers teacher contact information.
- Maintains bus arrival schedules and forwards information to the Transportation Department.
- Prepares and maintains student attendance folders, filing notes and making corrections as needed.
- Investigates discrepancies in daily attendance due to errors.
- Calls students from class as requested by administrators.
- Sorts and distributes U.S. mail.
- Provides clerical assistance to office staff as requested.
- Maintains and files hard copies of student schedules.
- Tracks daily early dismissals, calls students from class, and updates the software system.
- Creates and maintains a procedure outline for day-to-day duties.
Requirements
- High school diploma.
- Ability to operate a computer, including word processing and spreadsheets.
- Bookkeeping and record-keeping skills.
- Effective interpersonal, written, and communication skills.
- Excellent clerical and organizational skills.
- Proficiency in technology for communication, research, and system management.
- Ability to operate a multi-user telephone system.
- Ability to work independently.
- Must successfully complete and maintain compliance with federal and state background and criminal record checks.
- Adherence to all local, state, federal, and school code requirements for employment.
